Issuing Officer – Materials & Document Control

About the role

We are looking for an Issuing Officer to manage the issuance of materials, items and documents across the organization. The role ensures accurate record-keeping, proper stock rotation and timely support to internal departments.

Key responsibilities

• Verify and process requests for materials, items, or documents before issuing.
• Maintain accurate records of all items issued, returned and pending.
• Monitor stock levels and coordinate replenishment as needed.
• Prepare and manage issue vouchers, receipts and log entries.
• Inspect items for quality, quantity and compliance prior to release.
• Collaborate with departments to fulfill material or document requirements promptly.
• Keep the storage area organized for efficient retrieval and issuance.
• Report shortages, damages or irregularities to supervisors.
• Ensure safe handling of sensitive or high-value items.
• Provide customer service to staff or clients requesting items or documentation.
• Apply FIFO/FEFO methods to guarantee proper stock rotation.

Required profile

• Degree in logistics, supply chain, business administration or related field (advantageous).
• Honest, reliable and responsible handling of company property.
• Strong sense of integrity and compliance with company policies.
• Ability to work independently and as part of a team.
• Excellent attention to detail and accuracy in record-keeping.
• Good organizational and time-management abilities.
• Effective communication and customer-service skills.
• Capability to work under pressure and manage multiple requests.
• Familiarity with issuing, receiving or stock control processes.
• Previous experience in inventory management, warehousing, logistics or similar administrative role preferred.
