Issuing Officer – Materials & Document Management

About the role

The Issuing Officer will manage the issuance of materials, items, and documents across Sunda International’s operations in Accra and Tema. You will ensure accurate record‑keeping, maintain stock integrity, and provide prompt service to internal departments and external clients.

Key responsibilities

• Verify and process requests for materials, items, or documents before issuing.
• Maintain accurate records of all items issued, returned, and pending.
• Check stock levels and coordinate replenishment as needed.
• Prepare and manage issue vouchers, receipts, and log entries.
• Inspect items for quality, quantity, and compliance prior to release.
• Coordinate with departments to fulfill material or document requirements promptly.
• Organise storage areas for efficient retrieval and issuance.
• Report shortages, damages, or irregularities to supervisors.
• Ensure safe handling of sensitive or high‑value items.
• Provide customer‑service support to staff and clients requesting items.
• Monitor and enforce FIFO/FEFO stock rotation methods.

Required profile

• A degree in logistics, supply chain, business administration, or Mathematics/Statistics is an advantage.
• Honest, reliable, and responsible handling of company property.
• Strong integrity and compliance with company policies.
• Ability to work independently and as part of a team.
• Excellent attention to detail and accuracy in record‑keeping.
• Good organisational and time‑management abilities.
• Ability to work under pressure and manage multiple requests.
• Familiarity with issuing, receiving, or stock‑control processes.
• Previous experience in inventory management, warehousing, logistics, or a similar administrative role is preferred.

Required skills

• Use of inventory or stock‑management software (e.g., WMS systems).
