Service Administrator – Operations & Contract Management

About the role

The Service Administrator will oversee planning, scheduling and all administrative functions required to run the MARC operation at Goldfields’ Tarkwa and Damang sites. This role ensures efficient work‑in‑progress management, contract administration and collaboration with finance, procurement and maintenance teams.

Key responsibilities

• Manage Work‑In‑Progress (WIP) to keep values below thresholds for profitability, monitoring job count, cost and age.
• Oversee contract administration, ensuring timely purchase orders, monthly invoicing and that customer invoices are uploaded for payment within ten working days.
• Prepare and verify all supporting documents for customer payments each month, such as site damage reports, accruals, lubricants and fire‑suppression records.
• Supervise job opening and invoicing practices of service administrators to meet Service Excellence performance metrics.
• Coordinate with procurement to source items, deliver them on schedule and process vendor invoices promptly.
• Manage CAPEX budget and MARC tooling purchases, keeping records up to date.
• Lead and coach service administrators/planners, setting SMART goals and reviewing closed jobs before invoicing.
• Maintain accurate financial records, support audits and lead PSI safety meetings.

Required profile

• Minimum HND in Mechanical, Electrical or Agricultural Engineering.
• At least four years of post‑qualification experience in mining, engineering or construction.
• Strong verbal and written communication, numerical ability and attention to detail.
• Ability to work quickly and accurately, with good time‑keeping and record‑keeping.

Required skills

• Proficiency with Microsoft applications: MS Project, Excel, PowerPoint and Access.
• Experience using asset‑management software.
