Travel Assistant

About the role

The Travel Assistant provides essential administrative support to the Travel and Accommodation Unit of the African Union in Accra. The role ensures smooth coordination of travel‑related matters, from planning itineraries to processing travel claims, contributing to the efficient operation of the mission.

Key responsibilities

• Assist day‑to‑day functions of the Travel and Accommodation Unit, coordinating travel requests and border clearances.
• Calculate airfare, baggage allowances, terminal expenses and daily subsistence allowances for staff and dependents.
• Provide staff with information on economical routes and plan itineraries.
• Review travel claims for completeness, accuracy and compliance with AU rules before forwarding to Finance.
• Coordinate reimbursement with the Finance Section and ensure correct budget codes are used.
• Prepare amendments to obligation documents and maintain accurate travel records.
• Support the creation and improvement of operational processes and systems.
• Prepare office communications, draft reports and maintain data for budgeting and monitoring.

Required profile

• University Diploma in Transportation, Logistics, Fleet Management, Tourism Administration or a related field.
• Minimum of 3 years’ experience in administrative work within an international organization.
• Strong communication, report writing and presentation abilities.
• Planning, organizational, research and analytical capabilities.

Required skills

• Proficiency in Microsoft Office Suite.
• Familiarity with African Union IT systems.
• Experience using an Applicant Tracking System (ATS) or knowledge of SAP SuccessFactors.
