Supply Chain Assistant

About the role

The International Organization for Migration (IOM) is seeking a Supply Chain Assistant to support its procurement and logistics operations in Accra, Ghana. Reporting to the Supply Chain Officer and under the overall supervision of the Chief of Mission, the assistant will help ensure the timely acquisition of goods and services that support IOM’s migration programmes.

Key responsibilities

• Receive, verify, and consolidate procurement requisition forms in line with the Purchase Authorization Matrix.
• Prepare tender documents, solicit bids, conduct bid analysis and share summaries with requesting units.
• Confirm terms with selected suppliers, issue purchase orders or contracts, and obtain required authorisations.
• Monitor open requisitions, track deliveries, and coordinate receipt documentation with the receiving unit.
• Review vendor invoices, prepare payment requests and liaise with Finance for timely payments.
• Maintain physical and electronic procurement records and support periodic reporting.
• Conduct market surveys, evaluate potential suppliers, and assist in supplier performance reviews.
• Track contractual agreements, coordinate renewals, and manage office supply requisitions.
• Provide staff with guidance on procurement procedures and related instructions.

Required profile

• Relevant experience in procurement, supply chain, or logistics support, preferably within an international or UN‑related environment.
• Strong attention to detail and ability to follow established procurement policies and procedures.
• Good organisational skills with the capacity to manage multiple requests and deadlines.
• Effective communication skills to interact with internal units, suppliers, and finance teams.
