About the role

The Issuing Officer is responsible for managing the issuance of materials, items, and documents across the organization. This role ensures accurate record‑keeping, proper stock rotation, and timely support to internal departments and external clients.

Key responsibilities

• Verify and process requests for materials, items, or documents before issuing.
• Maintain accurate records of all issued, returned, and pending items.
• Monitor stock levels and coordinate replenishment as needed.
• Prepare and file issue vouchers, receipts, and log entries.
• Inspect items for quality, quantity, and compliance prior to release.
• Collaborate with departments to fulfill material or document requirements promptly.
• Organize storage areas to enable efficient retrieval and issuance.
• Report shortages, damages, or irregularities to supervisors.
• Ensure safe handling of sensitive or high‑value items.
• Provide customer service to staff or clients requesting items.
• Apply FIFO/FEFO methods to maintain proper stock rotation.

Required profile

• Degree in logistics, supply chain, business administration, or related field (advantageous).
• Honest, reliable, and responsible with company property.
• Strong sense of integrity and compliance with company policies.
• Ability to work independently and as part of a team.
• Excellent attention to detail and accuracy in record‑keeping.
• Good organizational and time‑management abilities.
• Effective communication and customer‑service skills.
• Capability to work under pressure and manage multiple requests.
• Familiarity with issuing, receiving, or stock‑control processes.
• Previous experience in inventory management, warehousing, logistics, or a similar administrative role is preferred.

Required skills

• Proficiency with inventory or stock‑management software (e.g., WMS systems).
