About the role
The Church Administrator & Personal Assistant supports the Head Pastor by managing daily office operations and providing high‑level executive assistance. This position ensures the ministry runs smoothly, maintains accurate records, and upholds confidentiality across all activities.
Key responsibilities
- Oversee day‑to‑day administrative functions of the church office, including record‑keeping, membership databases, and attendance tracking.
- Coordinate calendars, events, programs, meetings, conferences, and services for the ministry.
- Prepare official correspondence, letters, reports, memos, and other communications.
- Maintain filing systems, office supplies, and inventory of administrative resources.
- Manage the Head Pastor’s schedule, appointments, travel arrangements, and communications.
- Assist in preparing sermon outlines, meeting notes, presentations, and ministry materials.
- Serve as liaison between the Head Pastor, church leaders, members, and external stakeholders.
- Support budgeting, expense tracking, purchase documentation, and vendor coordination.
- Generate periodic administrative reports for leadership review.
Required profile
- Spiritually mature, trustworthy, and able to handle confidential information with discretion.
- Highly organized, proactive, and able to multitask in a fast‑moving ministry environment.
- Strong communication skills, both written and verbal.
- Ability to work collaboratively with ministry teams and external partners.
