Operations Executive – Food & Beverage Logistics

About the role

The Operations Executive will coordinate the efficient movement, storage and delivery of food and beverage products from the warehouse to customers in Kumasi. The role ensures orders are processed accurately, deliveries are scheduled optimally, and inventory is managed to meet service standards while controlling costs.

Key responsibilities

• Coordinate daily customer order processing and dispatch activities.
• Communicate approved orders to warehouse personnel and prepare delivery schedules based on location, route, order size, urgency and vehicle capacity.
• Oversee drivers, delivery staff and warehouse teams during picking, loading and dispatch.
• Ensure each delivery is supported by the correct invoice, delivery note or approved documentation.
• Verify that loaded products match approved customer orders and monitor deliveries throughout the day.
• Collect and reconcile invoices, delivery notes, cash/cheque documentation, rejected products and other records after deliveries.
• Investigate shortages, over‑supplies, rejected deliveries, damaged goods and customer complaints.
• Coordinate stock movements, transfers and ensure proper documentation and reconciliation.
• Monitor inventory levels, alert management to potential stock‑outs, overstock or slow‑moving items.
• Receive and off‑load imported containers and supplier deliveries, verifying quantities against shipping documents.
• Track damaged, leaking, dented, expired, returned or near‑expiry products and work with sales and warehouse teams to reduce slow‑moving inventory.
• Implement FEFO for expiry‑sensitive items and FIFO where appropriate.
• Monitor vehicle mileage, fuel consumption, maintenance and ensure drivers follow approved routes.
• Coordinate vehicle servicing, repairs, insurance, roadworthy certification and regulatory documentation.
• Maintain accurate delivery, fuel, vehicle and operational records and monitor logistics costs.
• Support cycle counts, periodic physical stock‑takes and investigate inventory variances.
• Prepare weekly and monthly operational performance reports and recommend improvements to routes, warehouse efficiency and vehicle utilisation.
